What to record for each item
- Room or location: identify where the item was observed, including storage or shared areas if in scope.
- Item name: use a specific, consistent name such as “Dining chair” or “Microwave.” Add a make or model when it helps identify the item.
- Quantity: count items individually where practical, and explain grouped counts or sets.
- Condition: describe visible condition and distinguish what was observed from what was tested.
- Notes: record identifying details, missing parts, existing marks, or anything not inspected.
- Photo reference: connect the entry to a room/item photo or a clearly captioned image.

The CSV opens in common spreadsheet applications. Add a row for each item or a clearly described group, keep the original file, and use consistent condition wording throughout the inventory.
Build the inventory during a room-by-room walk-through
- Start with the same room order as your inspection checklist.
- List supplied furniture, appliances, fixtures, and access items such as keys, fobs, and remotes.
- Record quantity and condition separately; a quantity does not describe condition.
- Add a room and item caption to photos so they can be found from the inventory row.
- Flag items that were inaccessible, missing, or not tested instead of filling gaps with assumptions.
Using the inspection workspace
In the inspection workspace, you can rename checklist items, record a quantity, select a condition, add notes, and attach photos. Browser records are stored on your device, so export a JSON backup if you want to preserve the workspace data and its photos.
Pair your inventory with the move-in checklist and revisit it with the move-out checklist.
